Responsibilities

  • Track daily project progress, maintain updated project trackers, and follow up with stakeholders, vendors, and internal teams to ensure timely task completion.
  • Assist Project Managers in planning, scheduling, and coordinating resources to ensure smooth project execution.
  • Prepare weekly and monthly status reports, dashboards, and performance updates for management and stakeholders.
  • Facilitate clear communication between business users, technical teams, vendors, and management, acting as a primary contact point for project-related matters.
  • Organize meetings, prepare Minutes of Meeting (MoM), and ensure proper follow-up and closure of action items.
  • Conduct workshops with business units to gather requirements, document workflows, and analyze current-state versus future-state processes.
  • Prepare and maintain project documentation (BRDs, SRS, UAT scripts, design documents, change requests) while ensuring compliance with PMO standards and quality guidelines.
  • Develop test scenarios and acceptance criteria, coordinate functional and integration testing, manage UAT cycles, and ensure proper defect tracking and resolution.
  • Maintain risk and issue logs, support mitigation planning, identify gaps or inefficiencies, and recommend process improvements or digital solutions.
  • Support project closing activities, conduct lessons-learned sessions, and monitor system performance after go-live to ensure stability and continuous improvement.

Qualifications

  • Bachelor’s degree in Business Administration, Information Technology, Industrial Engineering, or a related field.
  • 3–8 years of experience in PMO, Business Analysis, or Project Coordination roles.
  • Proven experience working on digital transformation, automation, or IT systems implementation projects.
  • Strong skills in documentation, process analysis, and structured requirement gathering.
  • Hands-on experience in UAT coordination, test case preparation, and functional testing support.
  • Excellent communication skills with strong stakeholder engagement and facilitation abilities.
  • Solid understanding of project management methodologies such as Agile and Waterfall.
  • Proficiency in MS Office tools, MS Project, Jira, or other project management platforms.
  • Strong analytical thinking and problem-solving capabilities.
  • PMP, CAPM, CBAP, Agile, or other relevant certifications are considered a plus.
