Admin and Finance Officer

Responsibilities

Finance:

  • Assist in the preparation and monitoring of budgets, financial reports, and donor reporting requirements
  • Process payments, track expenses, and ensure proper documentation of all financial transactions
  • Maintain accurate financial records and filing systems in compliance with organizational and donor policies
  • Support monthly reconciliation of accounts and assist with audits as needed
  • Ensure timely submission of financial data to relevant departments and donors

Administration:

  • Manage day-to-day office operations, supplies, and logistical arrangements
  • Maintain and update administrative records, databases, and contact lists
  • Assist with organizing meetings, workshops, and events, including logistics and documentation
  • Handle incoming and outgoing correspondence, including filing and archiving
  • Support HR functions such as timesheet collection, leave tracking, and personnel files

Qualifications

  • Bachelor’s degree in Accounting, Business Administration, Finance, or a related field
  • Minimum 1 year of relevant experience in finance and administration within a non-profit or NGO setting
  • Basic understanding of accounting principles, donor regulations, and financial reporting
  • Strong organizational and multitasking skills with attention to detail
  • Proficiency in MS Office, especially Excel; experience with accounting software is a plus
  • Good written and verbal communication skills
  • Ability to work independently and collaboratively within a team
  • High level of integrity and discretion when handling confidential information
