Responsibilities
Maintain a centralized digital and physical repository for all policies, procedures, and related documents.
Apply version control and archiving processes to ensure document traceability and integrity.
Review and analyze policies across departments to identify conflicts, overlaps, or formatting inconsistencies.
Enforce the use of standardized templates and formatting guidelines for all policy documents.
Coordinate the review and approval workflow by liaising with Legal, HR, IT, and executive leadership.
Track the status of policy drafts, updates, and approvals, maintaining accurate records of each stage.
Monitor changes in relevant laws, regulations, and industry standards; recommend updates as needed.
Support policy-related audits by ensuring documentation is audit-ready and easily accessible.
Manage the policy review calendar and send timely reminders for upcoming renewals or expirations.
Assist in the development of simplified policy summaries and support training or awareness sessions.
Prepare regular reports on policy status, pending reviews, and compliance gaps.
Serve as the main point of contact for all policy documentation and governance-related matters.
Qualifications
Bachelor's degree in Business Administration, Legal Studies, Public Policy, Information Management, or a related field.
Solid understanding of policy governance, regulatory compliance, and document control best practices.
Experience working with cross-functional teams in policy creation, review, and approval.
Proficiency with document management platforms (e.g., SharePoint, Confluence, or similar tools).
Exceptional organizational skills and attention to detail.
Strong written and verbal communication skills, including the ability to simplify complex content.
Ability to manage multiple priorities and meet deadlines in a structured and proactive manner.
